Job Description
Seeking a highly talented individual to answer phones and support the office functions of the company. The Office Assistants duties include greeting visitors, answering phones, and providing support as necessary. You are a friendly, people-oriented, and customer-driven individual. Ability to communicate clearly with co-workers, visitors, and clients. Must be thorough and punctual. Ability to prioritize and work in a highly active environment and have excellent organizational skills. Professional and well-groomed as you are the first impression. Answer and route calls for three respective companies. Greet, screen, and direct visitors andor phone calls to the appropriate person andor department. Sort and open mail for two facilities. Help prepare Quotes and Proposals for new and ongoing projects. Prepare Job Change Orders for projects per the request of a Project Coordinator. Maintain accurate and up to date log of Quotes, Proposals, Change Orders, and Work Orders. Create and distribute Work Order Books for awarded jobs to the different departments of the company. Keep Lobby supplies stocked i.e. eating utensils, plates, cups, coffee creamer, filters, sugar, etc.. Ensure the maintenance of company copier keep toner stocked, paper, etc. as well as call technicians when necessary. Ship samples to clients per Project Coordinator requests. Keep inventory of color samples, such as Galvanized and Metalized Burnished Bronze, Gun Metal, and Antique Coin. Keep contact master lists updated. Maintain and update spreadsheets and Job Binders.
Skills Required
HS Diploma or GED. 1 yr of exp as a receptionist, administrative assistant or in customer service. Proficient in MS Word and Excel. Professional phone etiquette.
Skills Preferred
Bilingual in SpanishEnglish.
