Job Description
The Residential Property Management Department Administrator will ensure the RPMD is able to run smoothly by supporting the Vice President, Directors and Operations Team through administrative support and coordination of daily tasks and logistics. Duties include comprehensive administrative tasks, department meeting coordination and creating slide decks, managing event planning, calendar scheduling, meeting and travel coordination, and performing additional general tasks in a dynamic environment. Provide comprehensive support and coordination of daily tasks for the department. Manage RPMD executive calendar scheduling planset-up conference calls. Prepare and distribute timely occupancy and financial reports on a weekly, monthly, and quarterly basis. Manage all purchases for the department. Process monthly expense reports and credit card purchases. Organize and stock supplies and equipment needed by the team. Support remote team members, ensuring the whole team always feels connected across offices. Coordinate and consolidate the RPMD team needs with facilities and IT, including computersoftwareequipment needs, office supplies, ergonomic evaluations, quarterly seating changesdept. moves, and other tasks as needed. Responsible for coordinating, setting up all onsite and offsite monthly, quarterly, and annual RPMD meetings including researching event venues, contracts, meals, and lodging, IT, and transportation as needed. Initiate, collect, proof, and assemble, meeting materials and slide decks, caterers, swag materials. Assist hiring managers with onboarding of new team members. Own team milestone celebrations and gifts. Maintain department fun site, plan coordinate team-building events, track keep relevant parties informed of important dates. Work closely with coordinators from other departments in other offices to ensure consistency, accurate calendaring, providing recommendations and feedback, and up to date sharing of new information and effective procedures.
Skills Required
5+ years of administrative exp. Exp managing highly confidential information and sensitive data. Exp with project and event management. Advanced proficiency with MS Office. IPhone and IOS operating system proficiency in order to assist team members.
