Job Description
To perform a wide variety of responsible and complex administrative, secretarial and clerical duties to support department director to coordinate and participate in office support functions in support of the departments goals and objectives and to provide information and assistance to the public regarding departmental policies and procedures. Provide exemplary customer service to all individuals by demonstrating a willingness to be attentive, understanding, responsive, fair, courteous and respectful, and to actively participate in maintaining a positive customer service environment. Perform complex administrative, secretarial and clerical duties in support of assigned department director recommend improvements in workflow, procedures and use of equipment and forms. Participate in the duties relating to the administration of a department participate in preparing comprehensive reports, agendas and minutes of meetings compile annual budget requestsdocuments. Coordinates payroll procedures, monitoring payroll sheets for accuracy. Coordinates performance evaluation schedule with managers and supervisors and types performance evaluations and personnel action forms. Prepare and proofread a wide variety of reports, letters, memoranda and statistical charts from rough draft or verbal instruction take and transcribe dictation as required independently compose correspondence related to assigned responsibilities. Assists in the development of Department presentations using Power Point and other media forms. Maintain records and develop reports concerning new or ongoing programs and program effectiveness maintain records for attendance, facilities usage, service levels, permits and related records prepare statistical reports as required. Maintain a calendar of activities, meetings and various events for assigned division manager coordinate activities with other divisions or departments, the public and outside agencies make travel arrangements as required. Skills Required
HSGED. Three years of increasingly responsible secretarial experience including some administrative secretarial experience. Executive level support required.
Skills Preferred
College level course work in business administration or a related field is desirable.
