Job Description
Reports to Managing Partner andor Management CommitteeDirect Reports 3 to 4 Persons on the Administrative TeamSupervises the 3-person administrative team and in coordination with the various attorneys, deals with personnel issues that may arise with the 9 staff in the roles of Paralegal, Legal AssistantSecretary. The position requires hands-on participation in all Finance functions as well as Information Technology, physical plant and event planning and scheduling.Finance FunctionInsure adequate internal controls by establishing separation of duties with direct reportsMaintain QuickBooks QB companies for both Operations and Client Trust FundsPerform all bank account reconciliations for both QB Companies listed aboveReconcile Time Slips amounts for Fees earned and Client Trust Funds to the QB accountsSupervise and provide entry level back up of the Time Slips Billing function in all phasesPost all daily receipts to Time Slips and record in QBSupervise and provide entry level back up on Merchant Credit Card ReceiptsSupervise all Accounts Payable by check and credit card to maximize rewardsPrepare monthly Financial Statements to PartnersCalculate and Report Partners Compensation Plan beginning in September through year-end closingCoordinate with CPA on year-end closing and tax return preparationPerform bookkeeping function for 3 client entities and provide information needed for income tax returnsParticipate in the application of malpractice E O insurance annual renewalsHuman Resources FunctionAssist with recruiting and on-boarding all new hires, including AssociatesEnroll all new hires in the various benefit plans includingoHealth, Dental and Vision PlansoLTD, Life ADD Planso401k PlanoCash Balance Pension PlanoLong Term Care PlanMaintain and transmit semi-monthly payroll and deposit 401k deferrals for Partners and StaffTrack Vacation and Sick Time accruals consistent with the Employee HandbookReport Pension Census to CPA and 3rd Party AdministratorServe as Pension A
Skills Required
Hands on finance and operations management experience within a law firm is required. Experience handling human resource issues.
