Job Description
Performs functions related to the front office operations and visitor services by directing and coordinating activities. Provides administrative and program support to all departments within the organization.Typing, filing, photocopying and responding to telephone calls, emails and fax requests and routing to appropriate staff. Answer multiple telephone lines provide information to callers, or route call to appropriate department member, and place outgoing calls. Contacts may be internal and external.Greets visitors, ascertain nature of business, and escort visitors to appropriate person.Listens and responds appropriately to all visitor and client needs and concerns via phoneemail, etc. Fulfills visitor collateral requests.Coordinates the activities of the mailroom including postage and supplies. Performs daily mailing functions including postage machine for outgoing mail, distribution, special mailings, and packages. Maintains office equipmentfurnituremachine acquisition, safety, maintenance, and repair.Coordinates vendors including pick-ups and deliveries and IT requests.Manages inventory of and orders all office supplies.Maintains inventory control procedures, including onsite and offsite collateral inventory.Manages CRM amenity orders for Sales Department and AdministrationOperations.Orders foodrefreshments for business meetings for multiple departments, follows-up with participants to place orders, and assists with set-upclean-up of meeting.Assists in additional office maintenance including organization and housekeeping of kitchen, bathroom, conference rooms, amenity closet, IT and cleaning closet.Assists Administrative Manager on projects and events as needed.Formats and Imports Contacts from Tradeshows, Sales Missions and Client Events into Meeting Sales and Travel Trade CRM.Submits and Monitors Simple View tickets.Coordinates items pulled from onsite and storage, and packs supplies for tradeshows and client events.Processes MPK and TOK requests.Responsible f
